Programming Coordinator
Job Purpose
Administration assistance in the programming department for Mountainfilm in Telluride.
Duties and Responsibilities
- Acts as administrative assistant to Festival Director and Senior Programmer
- Data collection for all guests and films and database entry relevant to programming: i.e., film entries, contacts, program entries, tech notes, etc.
- Guest communication and tracking, including schedules
- Collecting and organizing festival media content, i.e. trailers, sample footage for intros
- Collecting filmmaker contracts and paperwork for all guests
- Collection of guest bios, headshots and bios, coordinating with Content Manager and Marketing Manager
- Printed program proofing and fact checking
- Coordination of print traffic with tech coordinator (DCP and ProRes files as needed)
- Tech notes: Assist to build airtable database for films and programs, coordinate tech needs for presenters, liaison with tech director and coordinator, build tech binders, etc.
- Build program blocks with programming team
- Festival staff coordination of hosts, emcees, musicians, moderators and other festival staff (as needed)
- Take Action coordinator: communication with organizations, collect assets for web and app, and in person hosting during festival
- Guest pass liaison with passes department
- Screening and offering feedback on film submissions to assist programming
- Coordinator for other Festival events, i.e. Free Range, Coffee Talks, DocTalks, DownLow, etc., including assisting festival director/senior programmer/ communicating with guests, hosts, filmmakers and jury. Organizing other events and assisting events producer where needed
- Kids Kino: programming and assets collection for 10-13 films, coordinate KK screening committee and synopses (as needed)
- Local Legends & Steep Thrills Program: assets collection for 10-13 films + guests, coordinate screening committee and program content (as needed)
- During the festival: Some duties include working with programming and coordinating with communications to distribute information, including TBAs and APBs. On call for guest liasoning and emceeing and hosting
- Upkeep of airtable and transfer of information post-festival
- Prepare post-festival report and post-festival payment tracking
- Send all thank you letters
Qualifications
Related progressive experience. All qualifications comply with provincial human rights legislation.
Competencies Include
- Excellent organizational skills and detail-oriented
- Substantive knowledge and love of topics pertaining to Mountainfilm’s mission
- Enthusiastic and knowledgeable about film, specifically but not limited to documentaries
- Ability to write content for press releases, website and other media
- Strong communication skills: articulate by phone and email and in all follow-up; clear and concise in written and verbal messaging to office and production staff, volunteers, filmmakers, distributors and general audiences
- Able to interface easily with all staff, filmmakers, special guests and general public
- Ability to function under pressure and unexpected stressors, anticipate, identify and solve problems, and prioritize competing demands
- Must be able to work well with a variety of year-round and temporary staff. A calm and collaborative personality is important
- Willing to work flexible hours including extensive work weeks leading up to the festival and overtime work May 20–27, 2024
- Must not have off-season plans to be away from Telluride April and May
- Knowledge of film formats and festival production very helpful
- Experience working with Macintosh computer systems. Familiarity with Microsoft Office, Excel, Word, Google Docs and Sheets, Airtable and basic Photoshop is a plus
Working conditions
Dedicated workstation in an open office environment, where festival staff can grow from two to ten people as the festival approaches.
